UCPath Planned Downtime for Lived Name, System Enhancements

What does the downtime mean for employees?
From 3 p.m. Friday, June 16, to 9 p.m. Monday, June 19, employees, managers, and external job applicants will not have access to UCPath Online and will not be able to:
- View pay statements
- Make name or address changes
- Enroll in direct deposit
- Make benefits selections
- Apply for jobs
- View direct report information

All transactions must be locally approved and submitted to UCPath no later than 3 p.m. June 16, 2023, or as instructed by your location project team. Read more about changes for UCPath transactors.
What is changing in UCPath?
During the downtime, UCPath will implement changes to enable employees to be identified by their chosen, or lived name, supporting a more inclusive workplace and aligning with UC's Gender Recognition and Lived Name policy. Beginning June 20, the new "Name" field will replace the "Preferred Name" field. The Name field represents an employee's lived name, which may differ from their legal name.
How should employees prepare for this change?
Before June 16, employees who previously entered a chosen name in the "Preferred Name" field, should review their entry to ensure the information is accurate and up to date. Please note: Special characters will not be allowed until June 20.
How will employee names appear in UCPath after the change?
- The "Name" field will populate with the employee's lived name, or legal name if a lived name is not provided.
- The lived name will be visible in UCPath's employee and manager self-service systems.
- Most search results and pages will display an employee's lived name, and UCPath will only use the legal name when necessary for regulatory and business purposes.
Protecting employees’ personally identifiable information
Legal names are required on certain pages and documents, such as those related to pay. Location and UCPath transactors with access to the "Legal Name" field must maintain its confidentiality like Social Security numbers or other sensitive PII, or personally identifiable information.

Changes for UCPath Transactors
Manage Job tile
The new Manage Job tile will provide an improved job data display with all information available on one page. Select users with a new security role will have the ability to process current and future dated terminations, pay rate and earnings distribution changes with specific action and reason codes.

This UCPath upgrade will deploy the latest software to improve navigation and enhance search features. The changes include the following:
- The Transaction Status page is now called Smart HR Transaction Status. Find it under Main Menu > PeopleSoft Homepage > Workforce Admin > Smart HR Template
- Updated color scheme that helps with visual accessibility
- New Quick Access Bar with icons for Recently Visited pages, Favorites and Global Search, which helps find employees and pages
- New Homepage Selector to toggle between PeopleSoft homepages, e.g., WFA and General Ledger
