- Annual UCPath Upgrade

Overview:
In 2023 UCPath is 5 versions behind the current Oracle PeoplesSoft System Version 42, this restricts efficiencies and functionality implementation. As of August 2022, UCPC and UCOP launched the system-wide 2022 Annual UCPath Upgrade to rectify this situation.All locations, including UC Davis and UC Davis Health, are collaborating with UCPC on this upgrade effort.
Objectives:
- Implement PUM 44
- Enhance the ability to apply Oracle bug fixes and take advantage of new HCM (Human Capital Management) functionality
- Deliver the new Lived Name solution

Lived Name

Overview:
To achieve compliance with the Gender Recognition and Lived Name Policy we will implement Lived Name in UCPath by adopting People Soft Global Name delivered functionality.Objectives:
- Enhance the user experience in UCPath by providing employees the ability to use their lived name rather than a legal name
- Enable lived name to display on all UCPath pages where legal name is not required
- Update reports and downstream systems as needed due to change

Replace PayPath

Overview: Replacing the current PayPath module with a modernized solution leveraging new delivered functionality will allow transactors to accurately and reliably process job data information directly in UCPath.
Objectives:
- Improve the accuracy for processing employee job data changes
- Streamline job data transactions through specific guided processes while mitigating data entry errors
- Provide reliable and expected results with transaction changes
- Provide additional reporting and auditing capabilities
- Utilize new functionality from Oracle to improve the accuracy of employee updates and provide enhanced benefits:

Final Pay (Phase II)
- Overview: The Final Pay project aims to improve and streamline final pay processing using delivered UCPath final pay and navigation collection functionality.
Objectives:
- Streamline and reduce the effort to complete final pay activities
- Increase final pay accuracy by reducing manual entry and eliminating comment fields
- Increase data integrity by using UCPath data to drive final pay
- Improve leave, accrual and retirement accuracy (ensures rehired employees have accurate leave, accrual and retirement information)
- Improve the Off-boarding process by:
- Ensuring critical information is gathered
- Improving pay accuracy
- Improving employee information security
- Improve Time Collection (Time & Labor)
- Overview: The Improve Time Collection project will streamline the UCPath time collection process by centrally collecting, managing, validating, and correcting UCPath time through delivered functionality (Time & Labor).

- General Ledger (GL) and Salary Cost Transfer (SCT)
- Overview: The purpose of the UCPath GL Redesign is to reduce the complexity of UCPath. This includes building a new SCT tool that that meets business requirements and reduces current complexity when performing SCT-related entry (Direct Retro) and processing.
Objectives:

Improve Accruals
- Overview: The Improve UCPath Absence Management Accruals project focuses on improving processing by calculating, validating, and correcting UCPath accruals through delivered functionality along with changes to Absence Balances, Absence Takes, Absence Rules, Absence accruals and accumulate employee balances, and Absence Balances.
Objectives:

Absence Balances: Modify the custom process to update with the correct balances.

Absence Takes: Process will be updated to make it work more effectively with Time and Labor, and rerunnable in the event of a failure.

Absence Rules: AM engine will be updated to fix rules associated related to accruing leaves; Vacation, Sick , PTO.

Absence accruals and accumulate employee balances: Fix defects associated with employee changes (bi-weekly to monthly) and when an employee reports certain extended leaves (eg; FMLA, CFRA, PFCB, etc.).

Absence Balances: Will reorder UC Path's processing ensuring complete and correct leave plan balances.

Improve Retro Processing
- Overview: This project will improve retroactive processing and create visibility for paycycle processing schedule. Improve retro processing will optimize delivered functionality and minimize manual intervention.
Objectives:

Provide locations more time and additional details to review and address discrepancies.

Provide locations visibility to scenarios where additional action is required

More consistent processing of retros, improve pay, benefit accuracy

- Enhance Ask UCPath Landing Page
- Overview: The UCPath Center undertook an initiative in 2022 to identify opportunities that create capacity and improve the user experience of the Ask UCPath help site.
Objectives:

Enhance the Ask UCPath user experience by delivering a redesigned site to all employees that is user friendly, mobile responsive, and accessibility compliant

- Case Submission Redesign for Employees
- Overview: This project seeks to streamline the case submission process for employees by limiting the items employees have to select when entering cases and improve case classification by leveraging automation.

- Hire Pilot
- Overview: This project will allow location transactors to enter new hires directly into UCPath. This will help manage the hiring volume and reduce the overall processing time. The project is a pilot and includes UC Davis, UC Berkeley, and UC San Francisco.

Completed Projects
- New UCPath Navigation
Deployed: 10/15/2022 - Overview: On October 15, 2022, all UCPath transactional users saw a new navigational interface when they accessed PeopleSoft. The PeopleSoft pages did not change, only the navigation to the pages.
Objectives:
- Improves the overall user experience with an intuitive navigation design
- Streamlines navigation so transactors can find and enter information quicker and more efficiently
- Serves as the starting point to take advantage of future UCPath functionality
- Final Pay (Phase I)
Deployed: 12/5/2022 - Overview: Issuing a terminated employee's final pay is completely manual and requires significant coordination between UCD and UCPath Center (UCPC) Payroll Production. The Improving Final Pay project increases the accuracy and efficiency of these requests. This is a multi phase approach in which phase 1 was deployed December 5, 2022.

Deployed: 12/10/2022 - Overview: UC is implementing a new systemwide Common Chart of Accounts (CCoA) structure. As part of the CCoA redesign, all locations have agreed to a single new UC-wide chartfield (CF) order. The purpose of this project is to update UCPath page chartfield ordering adhering to the new UC systemwide standard
Objectives:
- A visual update to the PeopleSoft Pages used for CCoA entry
- Develop customization as a bolt-on to make future PUM Upgrades more manageable
- Redesign PeopleSoft Page(s) associated with Funding chartfields
- Better align UCPath chartstring ordering with Oracle Financials Cloud (OFC) General Ledger chartstring ordering
